This policy explains what personal information SJR Gas Limited collects when you use this website or get in touch, why we collect it, and what rights you have over it. We have tried to write it in plain English rather than legal boilerplate.

What we collect

When you fill in a quote or contact form on this site, we collect:

• Your name
• Your phone number
• Your email address, where you give it
• Your postcode
• The service you are enquiring about
• Any details you type into the message box
• Any photograph you choose to upload

If you call, email or message us on WhatsApp instead, we hold whatever contact details and job information you give us in that conversation.

We do not collect special category data, we do not ask for payment details through this website, and we do not knowingly collect information from children.

Why we collect it, and our lawful basis

We use your information to respond to your enquiry, prepare a quote, arrange and carry out work, and keep records of jobs we have completed.

• Legitimate interests. Responding to an enquiry you have sent us is our lawful basis for the initial contact. You asked us to get back to you, and it is reasonable for us to use your details to do so.
• Contract. Once you accept a quote, we process your information because it is necessary to carry out the work.
• Legal obligation. Gas safety records, landlord gas safety certificates and installation notifications are kept because gas safety law and building regulations require it.

Who your information is shared with

We do not sell your information and we do not pass it to anyone for marketing.

Your information is shared only where it is necessary to do the work or run the business:

• Netlify, who host this website and process form submissions on our behalf
• Gas Safe Register, where a gas installation must be notified by law
• Boiler manufacturers, where we register a warranty in your name
• Our accountant, for invoicing and tax records

How long we keep it

Enquiries that do not turn into work are deleted within twelve months. Records relating to completed jobs are kept for six years, which is the period in which a claim could be brought and the period our accountant requires for tax purposes. Gas safety certificates are kept for at least two years, as required by the Gas Safety (Installation and Use) Regulations.

Cookies and analytics

This website does not set advertising or tracking cookies. Fonts are loaded from Google Fonts, which means Google receives your IP address in order to serve the font files. The map on our home page is embedded from Google Maps and is subject to Google's own privacy policy.

Your rights

Under UK data protection law you have the right to:

• Ask what information we hold about you, and get a copy of it
• Ask us to correct anything that is wrong
• Ask us to delete your information, where we are not legally required to keep it
• Object to us using it, or ask us to restrict how we use it
• Ask us to transfer it to someone else

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

If we change how we handle personal information we will update this page and change the date at the top.
